Deadlines for Grant and Contract Proposals
Internal Deadline for all Proposals:
3 working days prior to the sponsor due date
Each month, the Sponsored Programs staff review and approve nearly 150 proposals and this number continues to grow. Both the Principal Investigator and the Institutional Official signing the proposal are responsible for the accuracy of the information it contains, which requires sufficient time to review the proposal for accuracy and compliance. Insufficient time may result in inadequate time for appropriate review, correction, and certification. Therefore, an internal deadline is required to allow sufficient time to assure that the institutional review and certification is accurate, and the proposal complies with both University and Sponsor policies.
Effective January 1, 2012, a three (3) business day lead time on all proposals arriving at Sponsored Programs is required. This means that complete proposal packages including internal documents should be in Sponsored Programs at least three days prior to the sponsor due date. Complete proposals received in this manner will be given a priority in handling and Sponsored Programs will absolutely assure faculty that the project will be reviewed and approved allowing for timely submission!
Please note — to be fair to all investigators, proposals NOT received in Sponsored Programs with the 3 day processing window will NOT be assured of being reviewed and approved on time and will NOT bump other proposals that are submitted by the three day deadline.
When you identify an opportunity or are invited to propose, identify the submission deadline date, account for any departmental or college review needs in addition to the 3 days needed in Sponsored Programs, and this should be noted as your real deadline date for the university. We also remain concerned about throughput issues with electronic submission portals such as Grants.Gov. If you are seeking federal funds and will be submitting through an electronic portal we urge all faculty and staff to think in terms of at least a week’s lead time so that ample time is allowed for these electronic portals to process the submission and get it to the proper agency.
